Q. I heard that you set up a competition to decide the best HR information system?
A. Yes, we did. One of the most important missions of our HR team is “development and growth of our employees”. In order to realize this we needed to capture a profile of our employees. Otherwise we would end up providing irrelevant learning plans and training. Even though we had been using an HR system as a part of ERP, we could not utilize the data stored effectively as its user interface is very hard to use. Therefore, we had to spend a lot of time to create reports and graphs by hand. In order to move forward, we needed some way to break through this situation. So, we then set up a competition among vendors to provide us an HR information system.
Q. Why did you choose ITC?
A. The consultant from ITC understood our HR assessment and education system deeply and we believed we could trust them as a partner. When we told them what we wanted to have as users, they showed us a system design which would fully realize our requests. Their professional advice also helped us to operate our new HR management system on a daily basis. We could trust their thorough understanding of our HR system requirements and their capabilities to constructing an IT system from users' requests. ITC also guaranteed to be flexible enough to accommodate our expected changes. Not only the consultant but also the engineer joined our meetings from time to time. We could sense that they tried to build the best system for our company.
Our requests to the vendors were:
- To realize a “Career Sheet”, which shows us our employees work related history within the company, such as personnel changes, ratings, education levels and MBO, all in one sheet.
- To realize a “Human Resource Map”, which shows us “What talent is Where” at a single glance.
Q. Following the competition, which were the main points that led you to choose ITC?
A. We evaluated each vendor and their products against the following points:
- Their understanding of our issues and challenges.
- Their ability to turn our concepts into a real IT system.
- Potential expansion of the product in the future.
- User Interface design.
- Easy output to Excel.
- Flexibility and customization options.
- Level of maintenance and on-going support.
- R.O.I.
- Presentation and suggestions.
Our cross organization team discussed each of these points and chose ITC.
Before the competition, we visited a couple of companies that had already introduced an HR information system. One of them, which had introduced an HR system from a major vendor, told us that that it took a huge amount of money and time for product customization since they are not specialized in it. It was also hard to adjust a system to their processes and not easy to utilize data. We considered these points very carefully. Even though ITC is not a famous or big company we decided purely from ITC's presentation and suggestions which were better by far in virtually every point.
Q. What do you think of the Rosic HR Information System now that you have started using it?
A. We have used the system for a couple of months now. The “Career Sheet” is exactly what we imaged and we now can make a map with just a couple of clicks with much better quality than before. The operation of the system is light and quick . It is easy to do searches and any result data can be exported to Excel files which means we can rearrange data easily. Rosic has reduced our working time dramatically.
Q. What are the merits of working with ITC?
A. It has been only nine months since we had the competition. Considering what we had to go through before the launch, we didn'r expect to be able to use the system fully in this short time and within our budget. One of the reasons this was possible is that ITC understood our IT system very well. ITC figured out where necessary data was stored and was able to rearrange it quickly. It could easily have taken more than an half a year just to understand and rearrange our data if we chose another vendor. We are very satisfied with our decision.
Q. What is the next step with HR information system?
A. We now can spend more time on planning work to realize our mission. We are going to brush up the “Career Sheet” and create graphs of personal achievement and potential. We will assist employees to understand their current skills for developing theemselves effectively. Employee heath care is another area that we would like to support by utilizing IT. We also have a plan to establish “HR Cockpit” system to be much more strategic in support of our management team. Rosic will play an important part for all of those plans.
